1. Clarify requirements: What does your clinic really need?

What data sources do you have, and how should they be integrated into the software? Who should use the software? Do you need different user roles? What report formats are expected by stakeholders (e.g., board, sponsoring organization, authorities)? It’s best to make a list of the must-haves and the nice-to-haves. That will save a lot of time later.

How easy is it to use? Are the reports created the way you need them? Does data integration work smoothly? Is support fast and helpful if something doesn’t work?
4. Check costs: What’s included – and what isn’t?
Of course, budget plays a role – anything else would be unrealistic in healthcare. But be careful: cheap isn’t always better. Some solutions seem inexpensive at first glance, but charge extra fees for important add-on features or support.
Ask in detail: Are there hidden costs, e.g., for updates or training? Is the contract flexible, or are you locked in for years?
